Drone Documentation: What Our Job Portal Shows You

By Aaron Scott|7 min read|

Every Roofing Army job gets its own online portal with before, during, and after drone photos of the roof, plus real-time status updates, your quote and documents, and a warranty registration once the job is done. You do not climb a ladder or take our word for what happened on your roof. You log in and see it.

I am Aaron Scott, licensed Michigan residential builder and owner of Roofing Army. On our own calls this year, 46 ask us to prove our license and insurance before they book anything, 24 ask whether we use in-house crews or subcontract the work out, and 41 ask outright whether we are a legitimate local company or an out-of-town storm chaser. Those questions are fair. A new roof is a five-figure purchase happening twenty feet above your head, somewhere you cannot easily go check yourself. We built a custom job portal, over a year of development, specifically so you never have to take our word for any of it.

What Is Roofing Army's Job Portal?

It is proprietary software we built in-house, not an off-the-shelf contractor app, tied to every quote and every job we run. Once you accept an estimate, you get a login to your own project page: the scope of work, your selected materials, appointment and crew-arrival reminders, your documents, and a running photo record of the job. It stays with your address after the work is done, so the same login that showed you tear-off photos is still there years later if you need the warranty paperwork or proof of a new roof for an insurance discount.

What Drone Photos Do You Get of Your Roof Replacement?

We fly a drone pass at three points in the job, not just one marketing shot at the end.

Stage What the drone photos show
BeforeEvery slope as found, taken at the free inspection, so there is a record of the existing roof's condition before anyone touches it
DuringTear-off in progress and the exposed decking, which is the only point in the job anyone can actually see whether a sheet of OSB was rotten and needed replacing
AfterThe finished roof from every angle, the completed ridge and valley work, and any penetrations (pipe boots, chimney flashing, vents) up close

The decking photos matter more than they sound. We replace rotted decking on 38% of the replacement quotes we write, and when sheets are needed the median job uses 48 of them, priced per sheet rather than guessed at. That line item is invisible once the new shingles go down. A dated photo of the exposed decking, taken before the new sheets went in, is the difference between a homeowner trusting a number on an invoice and a homeowner seeing exactly why that number is there.

What Else Does the Portal Show Besides Photos?

The photo record is the part people notice first, but the portal carries the rest of the paper trail too.

  • Real-time status updates. You can see where the job stands, from scheduled to in progress to complete, without calling the office to ask.
  • Appointment reminders. Confirmation of your inspection and install dates, so the dumpster and crew showing up is never a surprise.
  • Your scope and materials. The exact shingle, underlayment, and ventilation components quoted, so what gets installed matches what you approved.
  • Warranty registration. Once the job is signed off, your 50-year workmanship warranty is registered to the address inside the portal, with the certificate you would need for a future sale or transfer.
  • A direct line to the office. Questions about the job go through the portal and your project manager, not a call center that has to look your address up first.

Why Do We Document Every Step on Camera?

Because the honest version of this business has nothing to hide, and the dishonest version of this business counts on you never finding out what actually happened on your roof. A Roofing Army project manager is on site for every job, which handles accountability for the people. The portal handles accountability for the work itself: what the roof looked like going in, what we found once the shingles came off, and what it looked like when we left. We do not ask for a deposit, so there is no reason to rush documentation or skip a step you cannot see from the ground. You are not paying until the job is done and you have had a chance to look at it, in person and in the portal.

It also protects you later. If you sell the house, the drone photos and the warranty registration in your portal are evidence the roof was actually replaced, by whom, and when, which matters to a buyer's inspector and to an insurance company deciding on a new-roof discount. We cover that process in more detail in selling a house with a new roof and how to get a homeowners insurance discount after a new roof.

What if a Drone Can't Fly on Your Property?

Not every lot allows it. Low cloud cover, high wind, a tight side yard boxed in by mature trees, or a flight path too close to an airport can all rule out a drone pass on a given day. When that happens, we fall back to ground and ladder photos of the same slopes, so the before, during, and after record still exists, just captured a different way. The goal is the documentation, not the drone specifically, and a roof with a difficult lot still gets the same photo record in your portal as one with a clear, open yard.

When Do You Get Access to the Portal?

Your portal login goes out as soon as you accept a quote, before any work starts, so the first thing in it is usually your scope of work and the before photos from the inspection. From there it updates as the job moves: a scheduling confirmation, drone and walk-through photos the day the crew tears off and reinstalls, and the final set once the roof is complete and the magnet sweep is done. It is the same portal whether the job is a full replacement or a repair, though a smaller repair naturally has fewer stages to document than a full tear-off.

Does Documentation Cost Extra?

No. The portal, the drone passes, and the photo record are part of every job we do, not an upsell. The same is true of the ventilation analysis on every estimate and the five quotes at different price points you get before any of this starts. We would rather spend the time on a roof documenting it properly than spend it arguing about what was or was not done after the fact, and a portal full of dated photos ends that argument before it starts.

If you are comparing bids and want to know what should be in writing before you sign, see what is included in a roof replacement quote and why we give you five quotes instead of one. For the day-of logistics the portal documents, read roof replacement day: what to expect. Every completed project we photograph also becomes a public listing with its real price in our job gallery, and current plans are on our financing page. We serve Southeast Michigan from offices in Oxford, Ferndale, and Rochester Hills. See our roof replacement page or roof repair page to schedule a free inspection and get your own portal started.

Frequently Asked Questions

Do I need to create an account to use the job portal?

You get a login automatically once you accept a quote. There is nothing to sign up for separately, and the portal is tied to your address and project from the start, beginning with the before photos from your free inspection.

Can I share my portal with my insurance company or a home buyer?

Yes. The drone photos, warranty registration, and completion documents in your portal are exactly the kind of proof an insurer asks for when considering a new-roof discount, or a buyer's inspector asks for during a home sale. You can share what you need from it directly.

What if I lose my login after the job is done?

Your project manager or our office can look up your project by address and get you back into your portal. The warranty registration and photo record stay attached to your address, not just the login you were first given.

Does the drone documentation cost extra?

No. The portal, the drone passes before, during, and after the job, and the photo record are included on every roof replacement and repair we do. We do not charge separately for documentation.

Do roof repairs get the same documentation as a full replacement?

Yes, through the same portal, though a smaller repair naturally has fewer stages to photograph than a full tear-off. You still get before and after photos of the specific area we worked on.
